Event Planning Checklist (2)

2 months before the event:

  • Communicate venue shipping information with all parties
  • Confirm the food and beverage requirements.
  • Order supplies you will need such as name tags, pencils, etc.
  • Confirm signage
  • Hire entertainment (optional)
  • Hire photographer (optional)

1 month before the event:

  • Share with confirmed speakers a/v set up
  • Finalize the food and beverage numbers.
  • Figure out when the on-site registration desk will be open and who will staff the registration tables.
  • Determine on-site staffing/volunteers needs
  • Finalize the program and make arrangements to have it printed.

1 week before the event:

  • Confirm arrangements with the meeting site and vendors
  • Final food and beverage guarantees
  • Assign tasks for conference volunteers
